Role Summary:

The Receptionist / Admin is responsible for managing front-desk operations and providing

administrative support to ensure efficient daily office functioning. The role includes handling calls,

visitors, documentation, and coordination between departments while maintaining a professional

image of the company.

The position also assists with general administrative tasks such as filing, scheduling, communication, and office upkeep to support management and HR functions.

Key Responsibilities:

  1. Manage the front desk and greet visitors and clients in a professional and courteous manner.

  2. Handle incoming phone calls, emails, and inquiries and redirect them to the appropriate

departments.

  1. Maintain visitor logs and ensure proper security and access procedures are followed.

  2. Manage courier services, mail distribution, and document dispatching.

  3. Maintain and update contact lists, staff directories, and internal communication records.

  4. Support HR and Admin departments in preparing letters, memos, and filing employee records.

  5. Maintain cleanliness and organization of the reception and meeting areas.

  6. Assist in coordinating meetings, interviews, and conference room bookings.

  7. Handle office supply inventory and raise purchase requests when required.

10.Maintain daily attendance registers, staff sign-in sheets, and visitor schedules.

  1. Support the HR Manager with onboarding formalities and document collection for new staff.

  2. Prepare reports and assist with administrative tasks assigned by management.

  3. Handle basic data entry, scanning, photocopying, and document organization.

14.Coordinate with maintenance and IT teams for any front-office technical or facility issues.

  1. Ensure confidentiality and professionalism in handling company and employee information.

Qualifications & Skills:

  • Bachelor's degree or diploma in Business Administration, Office Management, or related field
  • Proven experience as a receptionist, administrative assistant, or similar role.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficient in MS Office (Word, Excel)
  • Professional appearance and positive attitude.
  • Ability to work independently and as part of a team.
  • Must be in UAE.

Salary range: 2500 Aed
