ACM Habitat by Altémed manages and maintains a property portfolio of approximately 21,000 residential units across the city of Montpellier and the Montpellier Méditerranée Métropole. Altémed is part of a public group of 550 employees. It serves the Metropolis of Montpellier and its 31 communes.
Position Overview
We are looking for a Chargé(e) de gestion copropriétés H/F – CDI – within the ACM Habitat entity.
You will report to the Management of Asset Management of ACM HABITAT.
Responsibilities
1 – Missions administratives
- Organize, convene, and hold Syndic Councils (CS) and General Assemblies (AG).
- Prepare the budget in collaboration with the accountant’s closing of accounts.
- Draft agendas and convocation documents.
- Facilitate meetings, record minutes, and ensure dissemination.
- Classify documents, keep registers up to date, and archive.
- Register and follow up on co‑ownership registrations on the national file.
- Update and manage the maintenance log book.
- Digitize and archive documents in GEIDE.
- Ensure implementation of decisions voted in the general assembly.
2 – Gestion et suivi des dossiers
- Conduct property visits and prepare visit reports for contractual visits.
- Manage client relations (phone, physical, email).
- Record and follow up events, including post‑CS and post‑AG.
- Arrange services and works, ensuring proper execution.
- Track administrative contracts: deadlines, renewals, guarantees in case of default.
- Request new suppliers in accounting.
- Monitor remote signing and detect possible leaks.
- Manage ongoing legal procedures (delinquents, conflicts, non‑compliance).
- Coordinate technical interventions with service technicians.
- Maintain correspondence and relations with clients and suppliers, resolving conflicts.
3 – Suivi comptable et budgétaire
- Develop and monitor the forecasted budget of managed buildings.
- Present the budget to assemblies.
- Track commitments and maintain budget surveillance.
- Enter indexes before closing, initiating corrective actions.
- Handle funding calls: prepare, verify, distribute, and oversee receipts.
- Track monthly delinquencies and flag critical situations.
- Prepare provisional and finalized statements with the accountant.
- Target level‑1 invoices.
- Invoice and collect charges from co‑owners.
4 – Gestion des sinistres
- Report damages on the Integrated Claim System (ICS) with the technical manager.
- Participate in expertises and oversee damage claims and indemnities with the technical manager.
- Coordinate works in collaboration with the syndic service manager respecting deadlines, safety, and quality.
- Contact insurers if needed.
- Follow the distribution of indemnities.
5 – Autres missions
- Participate in the co‑ownership transition of ACM HABITAT projects.
- Translate the syndic communication policy.
- Engage in maintaining the NF HABITAT Syndic Engaged certification.
- Handle legal procedures.
- Support the application of property management policies.
Qualifications
- Graduated from a Bac+2/3 program in real estate, law, or management (property promotion).
- Experience in co‑ownership management or as an syndic.
- Proficiency in digital tools.
- Strong customer orientation and appetite for challenge.
- Adaptable, organized, able to prioritize.
- Displays rigour, order, and teamwork skills.
