CharityStars is seeking a highly organized, resourceful, and hands-on Auction Operations & Fulfilment Specialist Intern to join our Logistics and Operations Department. This crucial role is the operational backbone of our auction process, managing the entire lifecycle of a physical auction item from arrival and photography to digital auction creation and final delivery to the winner. This internship is ideal for someone eager to gain comprehensive experience in e-commerce logistics, digital asset management, and non-profit operations.
Key Responsibilities You will be responsible for managing the end-to-end operational flow of auction items, ensuring efficiency, accuracy, and high quality at every step.
1. Item Logistics & Receiving Coordinate the secure receipt and logging of all incoming auction items (e.g., memorabilia, experience vouchers, high-value goods). Perform initial quality checks and detailed inventory documentation of each item upon arrival, noting condition, authenticity, and required assets. Organize and store items safely and systematically within the warehouse/storage area, maintaining a real-time inventory tracking system. 2. Digital Asset Creation (Photography) Take high-quality, professional photographs of physical items following CharityStars' brand and e-commerce standards. Edit and resize images as needed using basic photo editing software to ensure they are optimised for the online platform. Organise and tag digital files accurately for seamless hand-off to the Auction Creation team. 3. Auction Building & Content Support Utilise the in-house content management system (CMS) to
build the digital auction pages , uploading photos, entering item descriptions, and setting auction parameters. Ensure all auction listings are accurate, visually compelling, and adhere to internal branding and compliance guidelines. 4. Packaging and Shipment Fulfilment Manage the post-auction fulfilment process, including preparing items for shipment to the winning bidder. Professionally

to prevent damage during transit, selecting the appropriate packaging materials. Coordinate shipment with various domestic and international carriers, preparing all necessary shipping labels, insurance, and customs documentation. Maintain accurate fulfilment records and communicate tracking information promptly to the Customer Service team. Qualifications and Skills We are looking for a highly disciplined, detail-oriented individual who is comfortable with both hands-on physical tasks and digital administrative work. Required: Fluency in both English and Italian is mandatory (written and verbal) to facilitate communication with international partners and internal teams. Exceptional organisational skills, a high level of accuracy, and meticulous attention to detail. Proficiency in Google Workspace or similar. Experience or strong ability to learn basic digital photography and image editing techniques. Must be physically able to handle, package, and manoeuvre a variety of different-sized items. Desirable: Experience with domestic and international shipping logistics (e.g., using DHL, FedEx). A strong interest in the non-profit sector and a desire to contribute to fundraising success.
