We are recruiting for a PA Support to join our Chief Medical Officer Team.

You will provide high level, professional and confidential administration support to senior leads within the CMO Leadership Team ensuring they are briefed and prepared for all activities and take senior responsibility for the smooth and effective running of the administration function.

The successful candidate will liaise with a wide range of people, partner organisations and agencies, both internally and externally on behalf of the Trust, ensuring that a professional image is always maintained through appropriate use of language and behaviour.

Main duties of the job

  • Work within the scope of practice and using own initiative to provide secretarial and administrative support to the CMO leadership team.
  • To manage the diaries and inboxes of the designated Directors within the CMO Leadership team. To exercise judgement and discretion in the day-to-day handling, monitoring and filtering appointments, enquiries and act proactively where potentially clashes and pressures are identified.
  • To take lead in developing and co-ordinating the key areas of business for the CMO leadership team by being proactive in ensuring relevant information is obtained, organised and collated in a timely manner.
  • Responsible for organising and supporting meetings/conferences as requested, involving internal colleagues and external stakeholders. Including setting agendas, formal minute taking, ensuring minutes and action plans are typed in a timely manner and distributed to the relevant parties.

Person Specification

Qualifications

  • Good general education (e.g. GCSE English & Maths A-C or Level 9-4) or equivalent experience
  • Educated to Level 4 NVQ/Apprenticeship in Business Administration or equivalent experience within administration roles

Desirable

  • ECDL or equivalent IT qualification

Experience

  • Knowledge of a wide range of secretarial procedures
  • Experience of working to strict deadlines and under pressure
  • Experience of working without direct supervision
  • Experience in dealing with confidential information
  • Competent in use of IT systems including Office and Outlook
  • Ability to take, transcribe and take minutes of meetings
  • Experience of working as part of a collaborative team with shared cover arrangements
