Role Description

We are seeking a detail-oriented and reliable Administrative Secretary to support our property

management team. This individual will handle daily office operations, ensure efficient task

management, and serve as a key point of contact for residents and vendors. The ideal

candidate will be organized, adaptable, and capable of working in a fast-paced environment. This role requires 20 hours per week with flexibility for occasional additional hours based on business needs.


Primary Responsibilities

  • Rent Management: Record and apply rent payments accurately using property management software.
  • Mail Handling: Open, sort, and distribute office mail daily.
  • Document Management: Scan, file, and maintain documents for easy retrieval.
  • Communication: Serve as the first point of contact for residents and vendors. Answer calls, address inquiries, and provide accurate information with professional phone etiquette.
  • Software Proficiency: Use property management software to maintain records, ledgers, and reports.
  • Office Maintenance: Keep the office space clean, organized, and presentable.
  • Supply Management: Track and order office supplies to ensure adequate stock.
  • Errands: Perform local city runs, drop-offs, and other assigned errands.
  • Additional Support: Carry out other administrative tasks as needed to assist the property management team.


Required Qualifications

  • Proven administrative experience with strong data entry and record-keeping skills
  • Strong communication skills and professional phone etiquette
  • Highly organized with excellent attention to detail
  • Proficiency with technology; AppFolio and HubSpot experience strongly preferred


Preferred Qualifications

  • Prior knowledge of property management practices
  • Understanding of property maintenance processes
