Overview

The Executive Dean for Research’s Office at the University of Miami Miller School of Medicine (MSOM) is seeking a highly experienced Senior Manager, Sponsored Programs to support the University’s research mission. This role oversees all administrative and financial aspects of sponsored research programs across assigned departments and faculty. This position offers flexibility for remote or hybrid work arrangements and requires demonstrated experience with federal grant mechanisms, including NIH, DOD, and NSF. The Senior Manager, Sponsored Programs aims to increase sponsored funding levels and the output of funding proposals, and to maximize the use and efficacy of existing research funding dollars. The incumbent develops and implements policies and methods to further these goals.

Core Responsibilities

  • Identifies potential donors or sources of funding and plans outreach strategies.
  • Participates in the development of grants applications and proposals.
  • Schedules and oversees planning for special events that publicize the organization and its programs to the community.
  • Trains, mentors, and supervises sponsored programs staff members, and prepares performance reports.
  • Negotiates contractual provisions with potential partners.
  • Develops and provides reports or documentation needed to secure and maintain funding and grants.
  • Ensures that grants and contracts adhere to organizational standards.
  • Acts as department expert and primary point of contact on funding issues and disputes.
  • Establishes and continuously assesses the effectiveness of internal controls within the unit and compliance with university policies and procedures.
  • Ensures employees are trained on controls within the function and on university policy and procedures.

Department Specific Functions

Pre-Award Administration

  • Demonstrate expert knowledge of Federal regulations including OMB Uniform Guidance, Cost Accounting Standards, and FAR.
  • Oversee proposal submissions to Federal agencies, Foundations, and Industry sponsors.
  • Collaborate with faculty to develop proposal budgets, review sponsor guidelines, and coordinate document collection to meet submission deadlines.
  • Serve as liaison between faculty and central/compliance offices.
  • Assist with submission of annual progress reports (e.g., NIH RPPRs via ERA Commons).

Non-Funded Agreements

  • Coordinate submission of data use agreements, material transfer agreements, NDAs, no-cost extensions, and amendments in collaboration with the Office of Research Administration.

Sponsor Communications

  • Manage submission of sponsor-required materials including JIT documents, PRAMs, biosketches, and other supporting documentation.

Post-Award Administration

  • Provide oversight for post-award activities including financial forecasting, effort distribution, and expenditure review.
  • Advise faculty on allowable/unallowable costs during budget development and project execution.
  • Review and approve requisitions, expense reports, and purchase orders in Workday.

Faculty Engagement & Systems Access

  • Maintain regular communication with assigned faculty and respond promptly to inquiries.
  • Ensure access to UMiami financial systems including IBIS, Workday, and Velos.
  • Complete mandatory ORA onboarding and training to retain system access.

Other

  • Support ad hoc reporting and special projects as assigned by the Executive Dean of Research Leadership.
  • Excellent written and verbal communication skills.
  • Detail-oriented with strong organizational and analytical abilities.
  • Proficiency in research administration systems (e.g., ERA Commons, Workday, IBIS).

Qualifications

  • Education: Bachelor’s degree in relevant field
  • Experience: Minimum 7 Years Of Relevant Experience
