We've built our business and reputation on responsive services and the quality of the properties we manage. We’re growing and seeking an additional assistant property manager.
Job Summary
This position is responsible for protecting, maintaining, and enhancing the value of the real estate assets by performing the following duties and functions.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Manage day-to-day commercial portfolio as assigned by the department
- Meet Company goals for quality of service and growth of revenue
- Manage portfolio budget, finances, work orders, vendors, tenants
- Assist Asset Manager to maximize the overall value of real estate portfolio
- Manage tenant lease renewals, terminations, and extensions
- Understand lease language and the importance of following lease requirements
- Experience providing a high level of customer service to owners/tenants and managing vendor relations
- Strong problem solver and able to provide timely, reliable communication with attention to detail
SUPERVISORY DUTIES
- Carry out supervisory responsibilities in accordance with the organization's policies and applicable laws
FINANCIAL DUTIES
- Manage and produce daily, weekly, monthly, quarterly, and annual reporting to all clients and properties
- Manage income for properties, including tenant rent increases, reconciliation collections
- Create operating budgets that maximize the operating property, cash flow requirements, and leasing strategy
- Approve monthly financial statements including operating variances from budget, cash management, and strategies for the collection of receivables for commercial projects
- Supervise tenant billings, preparation of vacancy reports, enforcing tenant compliance and performing landlord obligations
- Review and approve all invoices for payment before processing through accounts payable
- Communicate with accounting department to ensure accuracy of accounts receivable and payable
MAINTENANCE DUTIES
- Work closely with Edge Maintenance staff to help execute day-to-day responsibilities per lease agreement
- Develop a network of emergency services available for 24 hour and weekend coverage as required for commercial projects
ADMINISTRATIVE / OFFICE DUTIES
- Work collaboratively in a team environment with a spirit of cooperation
- Keep accurate and detailed records of current space conditions, including roof, HVAC, utilities, and special circumstances
- Maintain complete and accurate property files and records according to department systems, with emphasis on documentation for future reference
- Provide prompt, detailed and accurate general status reports on all properties assigned
- Maintain punctual, regular and predictable attendance
- Part of the on‑call team, which is shared and spread out to only a few times a quarter
MARKETING / LEASING DUTIES
- Maintain excellent condition of vacant space to present to qualified tenants
- Oversee and authorize all pre‑marketing and ongoing marketing efforts including but not limited to signage and staging for commercial portfolio
- If licensed, conduct leasing renewals with current tenants, negotiate rates
TENANT RELATIONS DUTIES
- Manage tenant relations and coordinate requests for repairs and maintenance, understanding rent charges, lease issues and other tenant concerns
- Display excellent communication skills including presentation, persuasion and negotiation skills required in working with customers and coworkers and including the ability to communicate effectively and remain calm and courteous under pressure
- Demonstrate a positive, professional, and client‑oriented attitude about the company with coworkers, tenants, clients, and the public
QUALIFICATIONS
- Ability to perform essential job duties with or without reasonable accommodation and without posing a direct threat to safety or health of employee or others
- Ability to take direction respectfully
- Driver’s license required
EDUCATION AND/OR EXPERIENCE
- 3 years of commercial property management experience and/or training OR equivalent combination of education and experience
- MS Teams: Excel, Word, Outlook
REASONING & LANGUAGE SKILLS
- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures or governmental regulations
- Ability to write reports, business correspondence and procedure manuals
- Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public
- Ability to define problems, collect data, establish facts, and draw valid conclusions
- Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables
COMPUTER & MATHEMATICAL SKILLS
- Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations
- Strong computer application skills, which may include database, spreadsheet, report writing, project management, word processing, presentation creation/editing, communication by e‑mail, and use scheduling software
