The Holton-Arms School seeks a collaborative, flexible, and enthusiastic Administrative Assistant to join our vibrant Upper School team for the school year. This is a full-time 12-month position.

Position Overview
The Upper School Administrative Assistant plays a vital role in ensuring the efficient and effective operation of the Upper School office by providing comprehensive support to the Head of the Upper School and the broader Upper School division. This position requires a high degree of professionalism, discretion, and confidentiality. The Upper School Administrative Assistant serves as a key member of the Upper School team and embodies a positive representative of the Upper School and Holton-Arms School as a whole, aligning with the school's mission and philosophy.
Key Responsibilities
The key responsibilities of the Upper School Administrative Assistant can be broadly categorized as follows:
Executive Support
- Proactively assist the Head of Upper School in realizing their vision for the division
- Manage the Head of Upper School's calendar
- Provide communications support as needed
Administrative Operations
- Maintain meeting notes for all division meetings
- Manage daily attendance records including follow-up with families as appropriate
- Coordinate events, field trips, and transportation for the Upper School
- Serve as liaison with other offices in planning Upper School events
- Ensure Upper School office, faculty lounge, and faculty have necessary supplies and resources
- Provide and coordinate content for weekly Upper School Parent and Faculty Newsletters
- Manage, update, design, and distribute the annual Upper School calendar/planner and handbook
- Provide program support to Upper School Leadership Team members (Grade Level Deans, Dean of Students, Learning Specialists, College Counselors, and Counselors)
- Manage daily student cell phone collection and distribution
Student Records & Administration
- Record and track disciplinary records as determined by the Assistant Head of Upper School
- Manage Upper School's participation in school-wide fire drills (attendance tracking and issue resolution)
- Assist with Upper School records and transcripts in collaboration with school Registrar
Event & Program Coordination
- Assist in planning and scheduling Upper School programs including representing the Upper School in all school collaboration
- Collaborate with other offices as needed to execute internal and external Upper School events
Qualifications and Experience
The ideal Upper School Administrative Assistant will possess:
- High School diploma; associate or bachelor’s degree preferred
- Experience working in an office or school environment
- Technical proficiency using Google Suite to include Gmail, Google Docs, Forms, Sheets, etc., and Microsoft Office
- Demonstrate mature judgement in navigating interaction with students, including student requests
- Outstanding oral and written communication
- Growth mindset with a focus on learning and continuous improvement
- Proactiveness and thoroughness in the completion of all activities
- Very detail-oriented and capable of prioritizing competing demands
- Proactive, flexible, personable and a focus on serving multiple constituencies including parents, students, faculty and staff
- Enthusiasm and willingness to work as part of a dynamic, fast-moving team
Salary and Benefits Information
The salary range for this position is $65,000 to $75,000 depending on experience. This is a full-time 12-month position, working Monday through Friday, 7:45 a.m. to 4:00 p.m. This position accrues vacation according to the Holton-Arms School staff schedule. There may be black-out dates when leave will not be approved, such as opening and closing of the school year. Occasional evening and weekend work may be required as job duties demand.
